These Terms and Conditions (“Terms”) govern your Personal Mailing Address service (“Service”) with Salt Space Coworking Pty Ltd (“Salt Space”, “we”, “us”, “our”). By checking the acceptance box and submitting the sign-up form, you (“Member”, “you”, “your”) agree to be bound by these Terms. These Terms should be read together with our Privacy Policy, available at [insert URL].

1. Nature of the Service and Eligibility

1.1  The Personal Mailing Address service provides a personal mailing address at Salt Space Coworking, Level 1, 888 Brunswick Street, New Farm, QLD 4005 (“the Address”), for use by private individuals.

1.2  The Service includes access to printing facilities at the Address, up to 100 free pages per month.

1.3  This service is intended for personal use only. The Address must not be used for:

  • ASIC, ABN, or business registration;
  • Google Business Profile verification;
  • business correspondence, inventory management, or resale operations; or
  • product packaging.

1.4  Members requiring a business mailing address should refer to our Virtual Office Membership Terms and Conditions instead.

2. Postal Address, Not a Residential Address

2.1  This is a postal address service only. You may use the Address to receive mail from the ATO, banks, and similar correspondents, but you must not list it as your “Residential Address” on government forms.

2.2  Please use your current residential address for that purpose. New arrivals or visitors without a permanent home may use temporary accommodation (such as an Airbnb, hotel, or private rental) as their residential address for this purpose.

3. Identity Verification

3.1  Before Salt Space accepts or forwards any mail on a Member’s behalf, the Member must provide 100 points of identification (for example, an Australian driver’s licence or passport).

3.2  Where additional names are added to the account (up to four (4) in total, including the Primary Contact), each named individual must provide 100 points of identification before any mail addressed to them may be accepted, opened, or scanned.

3.3  Salt Space reserves the right to withhold mail, or to report suspicious activity to AUSTRAC or relevant law enforcement, if an individual’s identity cannot be verified.

3.4  The Primary Contact (account holder) is responsible for ensuring that any other person receiving mail under the account has been properly identified to Salt Space. Salt Space reserves the right to request additional identification for any individual receiving mail under the account.

3.5  At sign-up, the Primary Contact declares, on behalf of themselves and every named account member, that none of them is a Politically Exposed Person (PEP) (nor a close family member or known associate of one), and that none of them is currently named on, or acting on behalf of anyone named on, any applicable sanctions list. Where this declaration is found to be inaccurate for any account member, Salt Space may suspend or terminate the Service for that individual or for the account as a whole.

4. Authority to Receive and Handle Mail

4.1  Agent appointment: the Member appoints Salt Space as their agent to receive, sign for, and hold mail and parcels at the Address.

4.2  Where additional names are registered on the account under clause 3.2, each named individual, at the time their identification is verified, authorises the Primary Contact to act as their agent for the purpose of instructing Salt Space to open and scan mail addressed to them under clause 6. This authority may be withdrawn in writing by the named individual at any time, at which point Salt Space will act only on instructions received directly from that individual regarding their own mail.

4.3  Opening mail addressed to another person without authorisation may constitute an offence under the Criminal Code Act 1995 (Cth). Salt Space will not open any Member’s mail without express, item-specific authorisation given in accordance with clause 6.

5. Mail Notification

5.1  Salt Space will email the Primary Contact a notification within 24 hours of a mail item arriving, generally including a photograph of the unopened exterior.

5.2  This notification is a standard, automatic part of the Service and does not itself require consent. It does not involve opening the item or accessing its contents.

6. Consent to Open and Scan Mail Contents

6.1  Opening a mail item and scanning and emailing its contents requires express authorisation for that specific item. Authorisation is given by replying to the notification email described in clause 5, confirming that the item should be opened, scanned, and emailed. This is Salt Space’s sole consent model: no standing or blanket authorisation is given at sign-up, and Salt Space will not open or scan any item without a reply authorising that specific item.

6.2  Where a reply is received from the Primary Contact for an item addressed to another named individual on the account, Salt Space relies on the authority described in clause 4.2. Salt Space may at its discretion require the reply to come from the named individual’s own registered email address instead.

6.3  Up to five (5) mail items per month may be scanned and emailed free of charge upon request. Requests beyond this monthly limit may incur an additional charge or be declined.

6.4  A named individual may withdraw the Primary Contact’s authority to request scanning on their behalf at any time by providing written notice to Salt Space, as described in clause 4.2. Where no valid authorisation exists for an item, it will instead be held for collection or forwarding under clauses 9 and 11.

6.5  Following the scanning of an item under this clause, the Member may instruct Salt Space to either hold the physical item for collection or forwarding (clauses 9 and 11), or securely destroy it. Where no instruction is given, the item will be held for collection in accordance with clause 10.

7. Retention and Deletion of Scanned Mail

7.1  Scanned copies of mail contents (the digital image or PDF and the email transmitting it) are actively retained for a maximum of 30 days from the date the scan is sent, then deleted from Salt Space’s active systems.

7.2  Deletion follows Salt Space’s standard email retention and purge cycle. Final, unrecoverable deletion may take up to a further 30 days beyond the period in clause 7.1.

7.3  This digital retention period is separate from, and shorter than, the physical mail storage period in clause 10, and separate from the Verification Record retention periods described in our Privacy Policy, which apply to identity document details rather than to mail contents.

7.4  Where a Member’s Service ends before the 30-day period in clause 7.1 has elapsed, any remaining scanned mail content is securely destroyed at termination rather than retained for the balance of the period.

8. Accepted Items

8.1  Salt Space accepts standard mail and parcels meeting the following conditions:

  • Maximum dimensions: 50cm × 50cm × 50cm.
  • Maximum weight: 10kg.

8.2  Items exceeding these limits may be declined, or may incur a handling or storage fee starting from $15. Members will be notified where practical.

9. Mail Collection and Authorisation

9.1  Collection is available during staffed hours (Monday–Friday, 8:00am–5:00pm).

9.2  Photo ID must be presented at the time of collection.

9.3  To authorise a third party to collect mail, the Member must email written consent to Salt Space in advance. The authorised person must also present photo ID at collection.

10. Physical Mail Storage

10.1  Mail and parcels are stored for up to one (1) month from the date of receipt.

10.2  After one (1) month, uncollected items may be returned to sender or securely destroyed, at Salt Space’s discretion.

10.3  Members requesting extended storage beyond one (1) month may be charged $10 per week.

11. Mail Forwarding

11.1  Mail forwarding is available on request for $10 per item, plus postage costs. Postage credits may be purchased in advance; see our website for current pricing.

11.2  Once an item is handed to Australia Post or a third-party courier, Salt Space’s liability ends. Salt Space is not responsible for delivery delays, loss, or damage caused by third-party carriers.

12. Behaviour and Legal Compliance

12.1  Salt Space reserves the right to refuse service to anyone engaging in violent, threatening, or abusive behaviour.

12.2  Salt Space does not accept unlawful, obscene, or otherwise objectionable material. Such items will be disposed of at Salt Space’s discretion.

12.3  Members must comply with all applicable local, national, and international regulations. Misuse of the Service for any illegal activity may result in notification to relevant authorities.

12.4  Salt Space reserves the right to cooperate fully with any local, state, or federal law enforcement or regulatory agency, including providing member details and access to mail records upon receipt of a valid warrant, subpoena, or official request.

13. Service Limitations

This Service does not include:

  • handling of pallets, freight, or oversized deliveries;
  • repackaging or splitting of parcels;
  • coordinating courier pickups; or
  • receiving more than 40 items of mail per calendar month.

14. Liability

14.1  Salt Space does not insure or guarantee the contents of received mail.

14.2  Salt Space is not responsible for loss, damage, or delays once mail has been forwarded.

14.3  Salt Space may refuse or discard items that are unlawful, dangerous, or clearly inappropriate.

15. Membership, Invoicing, and Payment

15.1  The Service is available on the following plans, payable in advance:

  • $25 per month; or
  • $250 per year.

15.2  The Service renews automatically at the end of each billing period unless cancelled by email.

15.3  An invoice is issued at the start of each billing period, in advance.

15.4  Members must notify Salt Space before their billing cycle renews to avoid further charges.

15.5  Non-payment within seven (7) days of the due date may result in suspension or termination of the Service.

16. Cancellation and Termination

16.1  Upon cancellation, all outstanding mail must be collected, or forwarding requested (charges apply under clause 11).

16.2  On termination or cancellation, mail is handled according to its status at that time:

  • Uncollected physical mail will be returned to sender.
  • Opened and scanned mail (items already processed under clause 6, whose contents have been emailed to the Member) will be securely destroyed, in line with clause 7.
  • Any mail received after the Service end date will be returned to sender or securely discarded.

17. Holiday Closure

17.1  Salt Space will be closed for a period each year during the Christmas/New Year period. Mail and parcel services may be unavailable during this time, and Members are responsible for collecting all pending items prior to closure.

18. Acceptance

By checking the acceptance box and submitting the sign-up form, the Member confirms that they have read, understood, and agree to be bound by these Terms and Conditions, including the identity verification requirements in clause 3 and the mail opening, consent, and retention provisions in clauses 6 and 7.
